When edits are made to a document in a Versioning Archive, the latest version displays in the Search Results Grid View, while previous versions of a document and data will be automatically preserved. Changes can be made locally in their native application by launching the document, or made within the Document Viewer. Versioning is “implicit” – every time you save the document it generates a new version with its own document and data record, unlike Check In/Check Out in the desktop client, which keeps the same GlobalSearch record and creates new documents. If a new Archive has Versioning enabled, a Versions Archive is automatically created to store all previous versions of the document; you have no need to interact with the Versions Archive as GlobalSearch handles this automatically.

If an Archive has been configured for the Versioning feature, there is an additional column in the Search Results Document List. The Document column indicates what version number the current document is on.


  1. To create a new version of a document in a Versions Archive, make any edits and save the document in the Document Viewer.

  2. To view other versions of the document in a Versioning Archive (with permissions), open the document in the Document Viewer and click on the Revisions command. In the list of document versions that appears, choose the version you would like to view.


When you use Launch Copy with a version-controlled document, a copy is created and goes to the next version number, while the previous version is left in the current Archive rather than be moved to the Versions Archive.

If you have the proper permissions, you may roll back to a version of a Versions Archive document simply by deleting any later versions on file. This allows you to “undo” changes to this point and allow editing to earlier versions.
