As with moving a document, to copy a document from one Archive to another, you must first have permission to add documents to the intended destination Archive.

You must have Add permission for the destination location.

  1. Select one or more documents from the Search Results Document List.
  2. From the Actions drop-down list, select Copy.
  3. In the Select Destination Archive dialog box, select the destination Archive.
  4. To copy a document to a Sub-archive, click the folder icon to the right of the intended destination’s parent and navigate through the tree view until you can select the destination Archive.

Add Tip box, image, labels, etc.

Tip: Use the Copy Feature for “Save As.” Use the Copy action to “version” documents when Versioning or Check In/Check Out are not used. Just be sure to update one or more Index Fields in the duplicate to indicate which is the updated record and which the original.

•Use the folder on the right to navigate to sub-archives
•Click the folder on the left or the Archive name to choose your destination archive
•The arrow icon in the left folder indicates that there are sub-archives, but does NOT expand the Archive
•Just like the desktop client, if you’re in an Archive where you don’t have permission to Modify Annotations, and you want to copy a doc w/ annotations to an Archive where you DO have Modify Annotations permissions…GS will automatically burn in all annotations – that means they are permanently embedded in the copy of the document, however, the source remains untouched, the copy is now a new PDF with the annotation layer flattened out. THERE IS NO WARNING.
•Just like in the desktop client if any Fields in the destination Archive are Required, that Required attribute is ignored.
•Similar to the desktop client duplicate command in the document viewer, an Archive doc duplicates to a selected Archive
•Data in common Fields carries over
•Use this to “version” documents when Versioning or Check In/Check Out aren’t used

  • No labels
