Documents can be indexed to Archives using Drag & Drop from Windows.  Unlike the Import File method, with Drag & Drop you can select multiple files for import at one time.

You can capture and index documents from Windows Explorer® to Archives using the standard drag-and-drop method. If you select multiple files, you can choose to capture them with the same indexing information (such as when you import a batch of invoices from the same vendor) or you can assign each of them different information. While GlobalSearch responds to standard drag-and-drop requests from Windows, it is import to know that not all drag-and-drop operations function in this manner. If you are interacting with web pages, or other applications that do not support standard drag-and-drop requests, you may need to first download your files to Windows and then drag them to GlobalSearch.


  1. If indexing multiple files, select one of the following:

    •   Save and View Next Save the current document and any entered index data, then move to the next document to be indexed and repeat the process.

    •   Save (All) Save all documents with the same index data. 

    Note: You can capture email messages, or messages and their attachments, together with relevant indexing data into an Archive. When capturing into Archives configured for email Index Fields (such as To, From, and Subject), those Fields are populated automatically.

    To import an email (and any attached documents) from a Microsoft Outlook® MSG file or an IBM Notes® EMS file, export the file to you Windows desktop and then drag or import it into the Archive. 

    To drag documents into GlobalSearch, in the Archives Pane, ensure the target Archive is in view .  The target Archive in the Archives Pane. (It does not need to be selected. 

  2. In Windows Explorer, or from your desktop, select your files.

  3. Drag to the files to the Drop File Here text box of the Archive’s Options area.

  4. In the Index Documents, enter in the Index Field data for the selected file, or for the first of multiple selected files.

    •   If you are dragging to an Archive immediately after importing, dragging, or scanning to the same Archive, the indexing data from that previous import, drag, or scan operation appears in the Index Fields.

    •   By default, the document displays, in which case you can use KeyFree Indexing to populate Fields. Refer to the “Edit Data and Documents” chapter for details.

  5. Click Hide Document if you wish to close the Document View Area.

  6. If indexing a single file, click Save to save the document with any associated index data. The document and data are saved, the indexing interface is closed, and you are returned to the Archive into which the document was indexed.

  8. Select your files in Windows and drag them to the target Archive. When it is highlighted, drop them in.

  9. In the Index Viewer that appears, enter your indexing data and click Save.
