Beginning September 30th, 2024, Google will deprecate less secure authentication methods for Workspace accounts. This will impact email imports for some GlobalCapture customers. If you are a Google Workspace customer for email, any email import tasks will need to use the GMail Import Node.

Setup

Prior to using the node, your Google administrator will need to setup a a Google Cloud project for email access. Once a Client ID and Secret have been generated, you can configure the node in any GlobalCapture workflow requiring it. Note, this node WILL REPLACE the existing Import node step.

Configure a Google Cloud Project

  1. Browse to https://console.cloud.google.com/ and login as your workspace admin user.

  2. From the project selector in the upper right corner, either select a project to work in, or create a new project.

  3. Open the APIs & Services panel.

  4. Select the OAuth consent screen menu, select Internal, and click CREATE.

  5. Provide the required app information

  6. App name: GlobalCapture Email

  7. User support email: Your Google Workspace admin

  8. Provide a logo if desired. The Square 9 logo here conforms to the size parameters from Google

    Follow the Google Cloud setup instructions BEFORE attempting to configure the GMail Import node.

  9. Add the GMail Import node to your capture environment if it’s not already available from the GlobalCapture Admin > Nodes panel.

  10. Add the GMail import node to a new or existing workflow.

Node Settings

  1. Provide the Client ID and Client Secret from step 1 above.

  2. Click Authorize Gmail and Generate Refresh Token

    1. You will be prompted to authenticate. You need to authenticate as the mailbox user you intend to have capture import from.

  3. If you are not in testing mode, you will likely wish to enable “Delete Emails On Import”.

    1. With IMAP enabled, this option marks the message as read, but it will not be deleted from the mailbox. It will be removed from the inbox, and will not be subject to further imports.
