Overview

In any Accounts Payable Receivable process, the invoice is the bill your Accounts Payable team will be responsible for payingsignal to your customer for payment. This pre-canned workflow will enable you to scan and store Accounts Payable Receivable Invoices. By enabling your Accounts Payable Receivable staff to scan and store these documents, you can easily view and reference them digitally or send them through a workflowwhen your cusotmers call with questions.

Adding the Workflow

Adding the workflow to GlobalCapture is easy using Square 9’s Solution Delivery Network.

  1. Navigate to the GlobalCapture Design interface by navigating to your GlobalCapture Home Page.

  2. Select Design

  3. Select Workflow > Open Workflow

  4. Select your Workflow, Business Essentials - Accounts Payable Receivable - Invoices

  5. Click Open

Your newly imported workflow has security preconfigured. The “Accounts Payable” Receivable” group has the ability to review and action documents.

To create automation with this solution, it is expected you have at least one template in the Template Group “Accounts Payable Receivable - Invoices”. That template should perform separation (if required) and extract the following fields:

  1. Vendor Customer Name

  2. Invoice NumberNumbers

  3. Document Date

  4. PO Order Number

  5. Amount

If you have multiple invoice formats, it is recommended you create a template for each invoice format.

Release

Your workflow is built for the Square 9 Business Essentials platform and your documents should be released to the “Accounts Payable” archive.

Document Import

Documents are imported based on how you configure your import node, but can be ingested into your workflow in multiple ways, including email, desktop scanner, or watchfolder import.

Consider building a template using Square 9’s Template designer to build a template to extract the following fields:

  1. Vendor Customer Name

  2. Invoice NumberNumbers

  3. Document Date

  4. PO Order Number

  5. Amount

Validation

Any documents which fail to match a template will be stopped in validation for a member of “Accounts Payable” Receivable” group to review. When performing validation, a user will have 3 options:

This workflow is predefined to release to the Square 9 Business Essentials Accounts Payable Receivable archive. Anything processed through this workflow will be tagged as a “Vendor Invoice” an “Invoice” and with the following fields:

  1. Vendor Customer Name

  2. Invoice NumberNumbers

  3. Document Date

  4. PO Order Number

  5. Amount

  6. AP AR Record Type
