titleUpdate List Values Thoroughly

If you edit a value on a List, any records currently using that value are not automatically updated and can no longer be found with that value. When editing a List value, it is a good idea to first add a new, updated value to the List, then find all the documents with the incorrect value and, in the Document Viewer, replace the incorrect value with the new value. Then return to the Field Catalog and remove the incorrect value from the List.


This is a tip for the best way to use Update Documents (via the IO extension). These tips need to be presented in a more cohesive way.

Tip: Update Field Lists. GlobalSearch administrator can use Update Documents to replace one value with another in Archive Field Lists. Do this in steps, as you must find all the records with the original value using a Search first and then replace it with the new value. (If you cannot locate the records you need, you will not be able to use Update Documents or manually change the value in the Document Viewer.) First, add the replacement value to the List in the Field Catalog. Next run a Search for records containing the original List value. Replace the orginal Field value in your records with the new one you have just created. Finally, return to the Field Catalog and delete the original (and no longer used) List value.
